Backlink Profile
The backlink profile is the identity and source material Adaptify uses for PR outreach. It should represent a real person connected to the website, because journalists often verify sources before using a quote.
- Author name should be a real person, not a company name or shared team name.
- LinkedIn profile should be a personal profile that shows the author's connection to the company.
- Bio should include credentials, achievements, numbers, stories, and unique expertise that Adaptify can use when answering journalist requests.
- Headshot should be a clear photo of the author, not a logo or product image.
- Multiple profiles can be useful when different people should represent different areas of expertise.
A good bio should be about the person, not just the company history. Include what the author knows, why they are credible, what they have achieved, and what specific stories or examples they can speak to. Adaptify automatically selects relevant snippets from the bio when writing pitches.
PR Outreach Topics
PR Outreach Topics control which journalist requests Adaptify can match with the backlink profile. They should describe topics the author can credibly answer, not just narrow product keywords.
- Keep a broad enough set of topics, usually around 10 to 15, so Adaptify can find enough opportunities.
- High Success Rate topics receive many journalist requests and are usually worth keeping when relevant.
- Remove topics that do not fit the author or business.
- Use Find more topics using AI when you want Adaptify to suggest additional relevant topics automatically.
Backlink Building Details
Backlink Building Details is the dashboard for tracking backlink progress. It shows the pitch pipeline, placed backlinks, outlet details, domain reputation, live URLs, and reporting exports.
- Progress Summary shows pitches sent, pitches selected by journalists, and backlinks placed.
- Backlink details lists individual pitches and placed links so you can review what was sent and what went live.
- Filters let you switch between all backlink progress, placed backlinks, and backlinks in progress.
- Export to CSV downloads backlink progress for reporting, including date, subject, status, outlet, domain reputation, and URL.
Feedback and pitch review
It is useful to review pitches during the first month or two. If a pitch sounds good, feedback can reinforce the style. If a pitch uses the wrong tone, phrase, fact pattern, or angle, feedback teaches Adaptify what to change in future pitches.
- Thumbs up or thumbs down gives quick signal on whether the pitch direction was useful.
- Detailed feedback is best when you want future pitches to use or avoid specific phrasing, claims, tone, or examples.
- Retract pitch pulls back a pitch you do not want the journalist to use and requires feedback so Adaptify can learn why.
- Placed link feedback can be used when the live backlink needs a change, replacement, or review.
Email Inbox Authorization
Email Inbox Authorization lets Adaptify send PR outreach from a verified client-branded inbox. This is optional, but it can unlock premium publications that only accept pitches from verified email addresses.
- Not Connected means the client inbox has not been authorized yet.
- Setup Pending means an authorization request was sent and the client still needs to complete setup.
- Active or Connected means the inbox is ready and premium publications are unlocked.
- Reset removes the current authorization request or connection so a different email can be used.
Helpful, but not a deal breaker
It is common for customers not to connect an inbox. Having it can improve outreach quality and access to premium publications, but Adaptify has plenty of workarounds, so it is not a blocker if a customer does not use it.
Pitch Instructions
Pitch Instructions are rules that filter when pitches should be sent. Use them to avoid specific topics, claims, industries, or types of opportunities.
For example: Do not pitch for topics related to hiking, camping, or outdoor activities.
Both options are valid
Broader instructions can create more pitch opportunities. Stricter instructions give more control, but may slightly lower results because more opportunities are filtered out.

What success rate can we expect?
Results vary by niche, profile quality, and available journalist demand. Many sites see 1 to 3 relevant opportunities per day, about 30 to 100 pitches per month, and a 5% to 20% success rate. That can translate into roughly 1 to 6 backlink placements.
A first placed backlink often arrives toward the end of the first month. Once a backlink is placed, the live URL can be shared with customers, included in reporting, or used as social proof on a featured page.
How do you source PR backlinks?
Most PR backlinks come from reporter requests and established publication opportunities. Adaptify uses sources such as Featured.com, Connectively, Help a B2B Writer, social platforms, and niche industry platforms to find relevant journalist requests.
What type of links can I expect?
Adaptify aims for genuine mentions in articles written by journalists and authors. We do not use PBNs, link swaps, or grey/black-hat link building. The goal is diverse, high-authority links from relevant sources.
Are all links do-follow and DR40+?
Sometimes publications place no-follow links, but only do-follow links are counted as placed links. Adaptify only counts DR30+ links as placed, and the average placed link target is around DR45.
Will I know when a backlink is placed?
Yes. Backlink placements appear in the dashboard, can be included in reporting, and can trigger customer notifications depending on reporting settings.
What if I do not like a pitch?
You can retract sent pitches and give feedback. Adaptify uses that feedback to improve future pitch style, claims, tone, and topic fit.
Can you target local publications?
Backlink building primarily targets national and industry publications because that usually maximizes authority and SEO impact. Local publication targeting is not the default workflow.
